Roles and Responsibility
- Preparation and review of documents related to approved customer credit limits
- Forwarding of prepared/checked documents to interested parties for their onward delivery to clients
- When submitting documents prepared by a client, the inspection must be accompanied by internal approval and the mandate submitted.
- Improvement of security, submission of fees on various government portals according to internal needs and regulations to monitor
- Once the internal credit is met, the customer is issued a security certificate to use up the agreed limit
- Update documents received from customers in internal systems, including appraisals, insurance, etc. In the appropriate system module.
- Thus, the updated documents in the internal system are transferred to the internal team called Custody for safekeeping
- After receiving the execution documents, the guard team checks the relevant details like page numbers, correct document numbers, etc. with annotations
- Keep track of received documents to monitor the implementation of activities within the TAT
- Approval documents in the internal system and signature records
- Documents need to be scanned, numbered, and uploaded to other internal systems so virtual images of documents are available for the company to review while working on further deals for the same client
- Arrange physical documents in the bank’s safe deposit box in each customer’s wallet
- Confirm completion of all these activities to stakeholders
- Copies of the documents are then made according to regulatory requirements and sent to the customer by courier
- The registers relevant to this are updated, including the register of keys authorized to operate the vault
- Lead by example and build the right culture and values. Set the appropriate tone and expectations for your team, and work with risk and control partners
- Ensure ongoing employee training and development and ensure all critical function holders are properly trained and qualified for their roles to ensure they have effective oversight to mitigate risks
- Recruit, engage and retain high-quality employees with succession planning for key positions
- Responsible for reviewing team structure/capacity plans
- Set and monitor job descriptions and goals for direct reports and provide feedback and reward commensurate with their performance against those responsibilities and goals
